Closing Out: Won, Lost & What Happens Next

GoalClose bids properly so your win rate means something — and turn wins into projects without re-entering anything.

Winning

Mark Won, then Convert to Project — create a new project from the estimate or link it to one you already run. Customer, location, and the full bid carry across; the bid stays attached either way. Won bids also get a Contract Review checklist to sign off before work starts.

Losing — do it properly

Mark Lost asks one question: why. Price, scope, relationship, schedule, no response, project cancelled, or other — plus an optional note. Thirty seconds here is what makes your Win Rate KPI and loss breakdown worth reading in six months.

Working the quiet ones

Between sent and decided, log every follow-up call and email from the Activity Log — it lands on the bid's Activity tab and the customer's history at once.

Repeat work? Duplicate any bid to start a new draft with everything copied, or Save as Template to make it a reusable starting point under the Templates filter.

Try it yourself

  • Mark a test bid lost and pick a reason — then find it in the loss breakdown.
  • Convert a won bid and watch the project inherit its details.
  • Save your most typical bid as a template.

Key takeaways

  • Won bids convert to projects with zero re-entry.
  • Every loss gets a reason — that discipline is your win-rate reporting.
  • Duplicate and templates make the next similar bid a ten-minute job.
