Submittals & the No-Login Architect Review

GoalRoute submittals for approval — including architects who never log in — and catch stale approvals automatically.

A submittal is the approved record of what goes into the building before you fabricate or ship. Tempus 7 tracks nine types — shop drawings, product data, samples, design data, test reports, certificates, and more — numbered by spec section, like 05 12 00-001.

  1. New Submittal: pick the project, spec section (CSI), title, and type.
  2. Build the Review Workflow — ordered steps, each with a reviewer role (GC, Architect, Engineer, Internal QC), name, and email.
  3. Set the Schedule: required-on-site date, lead time, and review period — the form computes the Submit By date backward from those.
  4. Send for Review opens the submittal; record each reviewer's response as it comes: Approved, Approved as Noted, Revise & Resubmit, Rejected, or For Record Only.
  5. On Revise & Resubmit or Rejected, Create Revision starts the next round with history intact.

The external review link

The External Review panel sends a single-use magic link to an architect, engineer, or owner. They open it in their browser — no account, no password — see the submittal, and respond. The link tracks live / used / expired / revoked states, and you can re-send or revoke at any time. It works the same on change orders.

The stale-approval safety net: if a linked drawing gets a new revision after approval, the submittal grows a red Prior approval may be stale banner. One click says Approval still valid; the other starts a revision. Nothing approved goes quietly out of date.

Try it yourself

  • Create a submittal with a two-step workflow (GC, then architect).
  • Send yourself an external review link and respond from the no-login page.
  • Link a drawing to a submittal, revise the drawing, and watch the stale flag appear.

Key takeaways

  • Submittals are numbered by spec section and carry an ordered review workflow.
  • Architects respond through a single-use link — no login, fully tracked.
  • Drawing revisions auto-flag prior approvals — the system watches for staleness.
