QuickBooks & Getting Paid
QuickBooks — connected, with you in control
Settings → Integrations → QuickBooks → Connect to QuickBooks signs in with your Intuit account. Five syncs are live: customers and vendors (both directions, with a dedupe review before anything links), projects (pushed as sub-customers), draw requests (an approved draw becomes one QuickBooks invoice — gross line plus a negative retainage line), and payments (invoice balances flow back and mark draws paid). Nothing moves without your review — exact matches, judgment calls, and imports each get their own explicit approval, and every action lands in a sync ledger you can read.
Contracts & insurance — the paper trail
Each project tracks its Contracts (prime, subcontracts, supply agreements — with values, statuses, and signed dates) and Insurance & Compliance — COIs, licenses, and policies per participant, flagged automatically inside 30 days of expiry and surfaced on the project's Needs Attention list.
Draw requests — billing the job
Draw Requests on each project run draft → submitted → approved → paid, with period dates and requested amounts. Approved draws are what the QuickBooks sync turns into invoices; when the payment posts in QuickBooks, the draw marks itself paid.
Try it yourself
- Connect a QuickBooks company and run the customer dedupe review.
- Add a COI with an expiry date 20 days out and find it flagged on the project.
- Create a draw request, approve it, and push it to QuickBooks as an invoice.
Key takeaways
- Five QuickBooks syncs are live; every move is explicit and ledger-logged.
- Insurance expiry is watched automatically — 30 days out, it's on your attention list.
- Draws are the billing spine: approve in Tempus 7, invoice in QuickBooks, paid flows back.
